As an Office Manager :

you will be the first point of contact for the team, guests and external providers and clients. You will support the teams with various tasks within office management, human resources, talent acquisition and administration. The APAC offices are in rapid growth mode, so we are actively seeking an individual who is well-organized, flexible and has strong communication and interpersonal skills. The successful individual needs to be filled with high energy and a positive influence.

Responsibilities:

  • Dealing with correspondence and queries including client facing administrative work such as contract management and reports. Point of contact for all external providers and suppliers.
  • Build a high engagement culture and efficient working environment in alignment with company values.
  • Design and develop initiatives or programs, enhancing employee satisfaction and retention.
  • Support local stakeholders in daily office administration and facility support.
  • Organize company events, such as outing, team building, annual dinner and others.
  • Accounting related tasks including being the local contact person for the Finance, processing payments, taxes and related documents.
  • Be responsible for payroll, liaise with vendors for social insurance & tax renewal process and provide attendance/bonus data to ensure monthly payroll paid with accuracy.
  • Execute entire employee life cycle HR operations for Tokyo office including but not limited to onboarding, orientation, offboarding, etc.
  • Timely review and update HR policies, SOP and health & safety procedures to comply with local statute and labor laws.
  • Coach and support end users of the HR systems and processes.
  • Partner with TA team to support recruitment and talent attraction. Build up pipeline through multiple channels such as proactive talent search, campus recruiting and (virtual) career fairs.
  • Build a high engagement culture and efficient working environment in alignment with company values.
  • Design and develop initiatives or programs, enhancing employee satisfaction and retention.

Job requirements

  • 4-7 years of related work experience, being hands on with excellent organizational skills and pay attention to details.
  • Excellent interpersonal, negotiation, and conflict resolution skills.
  • Excellent communication skills in Japanese and English.
  • Strong problem-solving skills.
  • Ability to prioritize tasks under fast paced environment.
  • Proficient with Microsoft Office including Word, Excel and PPT.
